Admission Assistant/Receptionist

The mission of Westover School is to provide an environment that inspires the intellectual, artist, athlete, and philosopher in each student. The Office of Admission at Westover School conveys the Westover message both internally and externally, to successfully enroll, educate, and unify a diverse community of young women who will graduate and become agents of change in the world. Under the supervision of the Director of Enrollment Management, the Admission Assistant/Receptionist works and collaborates with the full Admission team to achieve our goals.

Admission Process Coordination

  • Data management of the inquiry to application process for all prospective families; this includes but is not limited to: management, maintenance and data entry of inquiry, application and application supporting materials, contact information, etc; assigning of office contacts; feeder/peer school, consultant, programs, etc data entry and maintenance; management of application materials and distribution to appropriate office contact; outreach as needed to families, schools, consultants, etc
  • As one of the first points of contact for the Admission team, greet prospective families with positive energy and customer service outlook; manage phone inquiries Ability to multi-task, be socially flexible, manage a fast paced front-end office
  • With Assistant Director of Admission, execute and support Tour Guide Program through tour scheduling, tour guide management, class scheduling etc
  • Maintain reception/waiting room area for admission visitors
  • Coordinate enrolled student files for Academic Office
  • Assist admission team with reporting, as needed
  • Coordinate and support Admission events and initiatives, as needed
  • Attend/represent Westover School at school fairs, events, conferences, etc, as needed

Admission Office Operations/Communications

  • Manage multiple mailings, by regular and electronic, throughout the admission cycle to prospective families, students, consultants, feeder schools, parents, etc as well as international mailings
  • Manage admission office supply inventory and ordering
  • Manage Westover promotional materials to include research, vendor relations, inventory, and ordering
  • Maintain yearly budget book by scanning all bills & invoices
  • Assist with travel planning/reservations/appointments, as needed
  • Assist, as needed, with all follow up communication from admission events, visits, etc
  • Maintain archive of all mailings/communications

Required Skills:

  • Exceptional verbal, written and communication skills
  • Database management; knowledge of systems such as Finalsite, Blackbaud, Whipplehill, etc
  • Proficient using Microsoft Suite
  • Social media savvy
  • Event planning management

This job involves extended periods of sitting, data entry and computer use, as well as frequent lifting and use of stairs. Extensive walking and standing is required for tours, visits, and events.

Dorm Parent

Westover School is seeking applicants for a part-time position as a dorm parent, which may include fulfilling other duties in coaching or community service.

Dorm parents live in the dorm with students and are committed to providing the care, support, and supervision that create a living environment conducive to the social, personal, and intellectual development of young women. Dorm parents are on duty three nights each week and every other weekend. They host a dinner table once or twice a week, and they help to proctor study hall during the spring trimester.

This position may be combined with other current part-time openings to create a three-quarter time or full-time position, depending on the experience and interests of the applicant.

Westover School is an all-girls' boarding and day school, grades 9-12. We are committed to providing a college preparatory education in a small community atmosphere that emphasizes student-adult interaction. Varsity tennis coach

Westover School is seeking an individual who possesses the skills and motivation to serve as Varsity Tennis Coach. The candidate should have knowledge of and experience with the game and be a positive educator.

This position is for the spring 2018 season. Practices are Mondays through Fridays after 1 p.m. with most matches occurring on Wednesdays and Saturdays.
